Assessing Your Business’ Phone System Needs

Before contacting a potential phone system company, you should have an idea of what your business will need in a phone system. Vendors may be able to help you decide on certain details, but predetermining what you want can help them point you in the right direction.

Because there are so many options available, you will really want to think about all of your possible needs. You will also want to be able to answer any questions a phone system vendor might ask you in order to help you choose the right system and features.

Here are a few points to consider before discussing your options with a phone vendor:

  • Lines and extensions – Determine your current number of employees, and try to predict any growth you may have in the future. Fax machines, modems, and credit card terminals should be included in this number, if applicable.
  • Future expansion – If you plan on expanding your business and hiring new employees, you will want to take this into consideration. It is recommended that you plan two to three years ahead. Forecasting expansion can save you both the time and money of having to completely switch and upgrade your phone system.

  • Accessories and options – There are a wide variety of features that can be available with any business phone system, but most will come at an additional cost. A good example of this is voicemail. While voicemail is usually considered a necessity, most phone system providers do not include it in their standard features. Having a good understanding of the features your business will require can help you estimate total costs, as well as which phone system you should choose. For instance, a VoIP system will offer features that a KSU-less system may not.
  • Once you have a better understanding of what you business needs, it will be easier to talk with potential vendors and get accurate price quotes. A business phone system can be considered an investment, so knowing as much as possible about what your office will require will allow you to make the best possible choice for the lowest available price.
