Costs of a copy machine will vary depending on the features you need. Costs can be separated into three basic categories:

  • Equipment- the machine itself
  • Consumables- the supplies needed to print and make copies
  • Maintenance- service costs. 


  • The costs of each will depend on the type of program you sign up for, if you purchase all components from the same source, and the type of machine you buy.

    Equipment Costs

    Copier machines usually cost a few thousand dollars new or used, but can run up to $50,000 or more for advanced machines that print in color or high resolution.  Machines can also be leased, and most vendors offer the option of a buy-out when the lease is over for less than you would pay for a new machine.  Buying a machine is a good idea if you’ll be using it for a long time. Refurbished printer copier machines are a great option for businesses that want to get a bargain or purchase recycled or pre-used materials and reduce waste.

    Consumables and Supplies

    “Consumables” are the supplies like ink, paper, and developer that a machine uses to make copies.  Your supply budget is contingent on how much you use the copier and the type of prints that are completed.  You can usually get a better deal purchasing supplies from an outside vendor.  If you buy an all in one printer scanner supply costs will be less than if you printed all documents.  Using electronic storage can be a great way to save money and conserve resources at the same time.

    Maintenance and Service Costs

    Most vendors will require that you sign a maintenance or service contract that binds you to using their company for repairs and upgrades.  Usually machines have warranties for a specific period of time that are included in the purchase.  Most lease machines will come with some kind of maintenance clause.  If you purchase a used machine, you’ll need to look for this service separately.

    Maintenance contracts are usually inexpensive, and can be worth the money.  Usually they specify a timeline for repairs, and if your machine is out of service for longer than a few days you’ll be given a “loaner” at no cost.  Make sure you have a plan in place for maintenance.  Copiers are frequently used and can encounter problems often if they are not properly maintained.
